Position Overview

Butler University seeks an Administrative Assistant – Communications and Records Coordinator to coordinate the operation of the University’s Department of Public Safety’s communication center and records unit.

The Butler University Police Department (BUPD) is a sanctioned law enforcement agency by Indiana statute. All officers are graduates of the Indiana Law Enforcement Training Academy. BUPD is the chief agency for responding to calls for service on and immediately next to the campus of Butler. 

Job Requirements

Responsibilities:

  • Coordinate activity of the dispatch area
  • Perform IDACS (Indiana Data and Communications Center) coordinator duties
  • Receive cross-training in dispatch procedures and act as a relief for day time dispatch 
  • Gather and disseminate critical data demanded by Clery guidelines
  • Track out of state and country crime statistics needed to fulfill Clery requirements
  • Tacking programing within all current divisions to document our requirements under Clery
  • Posting and emailing daily crime log per Clery requirements
  • Gathering data for the Annual Security Report from other areas of the University
  • Assist our Emergency Preparedness Associate Director with fire and emergency drills
  • Processing our billings
  • Filling requests for Police Reports from the community
  • Filing documents in proper files for retention
  • Filing training documents to help track state standards
  • Track training requests
  • Monitoring our websites to forward requests to proper areas
  • Ordering and stocking inventory and office supplies
  • Maintain confidentiality to criminal investigations and FERPA


Requirements:

  • High School Diploma or GED equivalent
  • Certified in telecommunications procedures
  • Able to obtain IDACS certification
  • Strong verbal and written communication skills
  • Computer familiarity with word processing and spreadsheets
  • Demonstrated bookkeeping skills


Physical and Environmental Demands Summary:

Repetitive movement of hands and fingers, typing and/or working. Frequent standing, and/or sitting. Occasional walking, stopping, kneeling or crouching. This position may work outside on occasions in all types of weather for special events.
