Job Description Job Responsibilities


As an Administrative Assistant, you will perform a range of office and clerical duties. Depending upon the specifics of your assignment, you may work in the front office in an admin/receptionist role.

Your specific duties will include:

  • Maintaining paper and electronic filing systems for records, correspondence, and other material
  • Drafting and sending memos
  • Answering telephones (possibly multi-line) and providing information to callers, taking messages or transferring calls to appropriate individuals
  • Operating office equipment such as fax machines, copiers, and phone systems, and using computers for spreadsheet, word processing, database management and other applications
  • Sorting mail and either forwarding or delivering it to the correct department or office
  • Performing data entry, both alphabetical and numeric.

    As an Administrative Assistant, you must be dependable, responsible and able to work at a fast pace while always being able to occupy yourself with new tasks as needed. You must also be a team player with a solid work ethic who is always prompt, on time and committed to maintaining consistent work attendance. It will also be important that you display exceptional attention to detail and solid organizational skills. You must also have strong verbal and written communication and interpersonal skills as well as excellent grammar.


    Specific qualifications for the position include:

    • High school diploma or GED
    • Ability to type 40 wpm and to enter 6000 keystrokes per hour on a numeric keypad
    • Professional appearance, demeanor and telephone voice
    • Basic computer proficiency, including Microsoft Office Suite
    • Ability to pass a background check and drug screen
    • Ability to pass a typing test
    • Basic accounting skills a plus
    • Multi-line telephone experience a plus
    • Ability to create spreadsheets a plus
    • Bilingual ability a plus
