Job Description

This opening is in our Kawneer business which is located in Springdale, Arkansas. We are the leading manufacturer of architectural aluminum products and systems for the commercial construction industry. Kawneer is part of Arconic’s global Building and Construction Systems (BCS) business unit, which manufactures and markets architectural systems and products in North America, Europe, Asia and the Middle East.

The Administrative Assistant position provides key support to all Front End Departments for general office needs including ordering office supplies, entering requisitions in JDE for building services, creating PR's for Technical Service Outsourcing, filing, mail processing, coordinating special events and other clerical duties.

Key Challenges and Responsibilities:

  • Printing / scanning architectural/ shop drawings for the Front End Team

  • Process incoming and outgoing mail including shipment for FedEx or UPS packages

  • Downloading documents from FTP sites such as DropBox for various departments in the building.

  • Entering timesheets to track technical services time spend and money claimed for jobs.

  • Assisting with Work Brain timesheets for the Front End Team.

  • Ordering and monitoring of office supplies for the Springdale Front End Team.

  • Entering requisitions into JDE for processing, including entering annual blanket PO's to cover monthly billings of outsourced services.

  • Process incoming invoices through Buy Pay Center and ensuring timely payment to vendors.

  • Creating and maintaining files for the Front End Team.

  • Creating Technical Services Requisitions for outsourcing.

  • Printer maintenance including oversight of toner and parts, and arranging for cleaning/maintenance.

  • Coordinate quarterly dustbowl filing for the Front End Team.

  • Support and organizing special events such as customer visits, special business meetings, etc

  • May involve local business travel to run work errands such as picking up food, office supplies, etc in the local city limits

  • Run integrity queries for the Front-End groups

  • Ship confirm technical services and PA Lines.

  • Distribute bill of lading/shipping sheets to PM's and Harrisonburg as required.

  • Essential Knowledge, Skills, and Education

  • HS Diploma or GED equivalent.

  • Strong computer software skills and the ability to learn proprietary software (MS Office Suite, JDE, AutoCAD, and BlueBeam).

  • Ability to work independently with general supervision.

  • Organizational and detail orientation.

  • Initiative and strong follow up skills to ensure proper execution of work in a timely manner.

  • Good interpersonal and time management skills.

  • Good problem resolution skills.

  • Major Customers: Lead Team, Front End Team, Manufacturing plants, vendors and customers

    Basic Qualifications
  • HS Diploma or GED equivalent from an accredited institution.

  • 3 years of administrative experience in a professional office setting.

  • Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.
