Job Description Job Description This Administrative Assistant will support the Director of Business Systems/Finance Chief of Staff and the Director of Government Compliance, Functional Cost Management & Program Services and provide general administrative support to their respective teams.Performs a variety of complex administrative activities in support of day to day operations. Requires ability to effectively interface with a variety of different people and functions, and must be able to work independently with little to no supervision. The ideal candidate should be high energy, professional, proactive, reliable, and organized. They should also exude a strong work ethic, positive attitude, team-oriented mentality and must be able to confidentially handle personnel data.Responsibilities include but are not limited to the following:
  • Arrange, confirm, and prepare internal and external meetings, conference calls or Telepresence meetings and catering as required
  • Manage calls; receive and screen calls in a professional manner in Director’s absence
  • Coordinates travel arrangements and itineraries including car service, hotel arrangements, and flights. Subsequently, prepares travel and expense reports in support of Directors and their team
  • Assist with ordering supplies, IT equipment, and coordinating facilities moves
  • Responsible for photocopying, faxing, scanning, printing reports, handling mailings, and assisting with other personal items and general administrative duties as needed
  • Compiles special reports, conducts special projects, support occasional note taking and perform administrative duties as required to relieve manager of administrative details
  • Provide general support for financial tools and administration including access controls, new file or security requests for financial systems and administrative support for our training tools
  • Provide website support and assist with maintenance of the Finance SharePoint Sites
  • Work closely with other administrative personnel on various initiatives and provide back up as needed
  • Support employee engagement and morale initiatives
  • Performs other duties and responsibilities as required
