Job Description

Employment Title: Receptionist - Administrative Assistant

Status: Non-Exempt

Reports To: Vice President of Risk Management and Compliance

Primary Responsibility

Operate multiline telephone system to answer incoming calls and directs callers to appropriate personnel while performing general clerical functions.


  1. Retrieves messages from voice mail and forwards to appropriate personnel.
  2. Answers incoming telephone calls and forwards calls to appropriate personnel or department.
  3. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  4. Provides callers with address, directions and other office information.
  5. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  6. Monitors visitor access.
  7. Monitors calendars and prepares meeting rooms for meetings. Post meetings verify rooms are cleaned up and prepared for next meeting.
  8. Maintains the conference rooms and front office space in a presentable condition.
  9. Sends faxes, retrieves and routes incoming faxes.
  10. Handles all incoming and outgoing UPS and FedEx packages.
  11. Orders, receives and maintains office supplies.
  12. Creates, copy's and prints fax cover sheets, memos, correspondence, reports and other documents when necessary.
  13. Creates new hire benefit packets.
  14. Sets up in-person and phone interviews with candidates.
  15. Assisting other departments as necessary.


  1. High school diploma or GED completed.
  2. Good verbal communication and customer service skills.
  3. Excellent phone etiquette skills.
  4. Ability to operate a multi-line incoming phone system.
  5. Previous reception and/or office clerical experience a plus.
  6. Working knowledge of Microsoft Office, Internet, and Outlook.

  8. Must be able to work 8:00a.m. - 5:00p.m. Monday - Friday.

Physical Requirements

  1. Must be able to operate a computer, telephone and other commonly used business-related items.
  2. Able to handle multiple disruptions with rapidly changing priorities to accomplish project goals.
  3. Visual and auditory skills are required.
  4. Standing, bending, stooping, and kneeling are required on a regular daily basis.
  5. Ability to lift, push and pull up to 25 lbs when necessary.
