Job Description

Essential Duties & Responsibilities

• Administer employee benefits programs such as retirement plans; medical, dental, vision plans; life insurance plans; temporary disability programs; and wellness programs.

• Serve as primary contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration.

• Evaluate and revise internal processes to reduce costs and increase efficiency. Document and maintain administrative procedures for assigned benefits processes.

• Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.

• Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing. Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.

• Perform plan audits. Prepare, collect and organize data for actuarial assessments. Review data in conjunction with actuarial evaluation task forces.

• Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits package. Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions.

• Install approved new plans or changes to existing plans by preparing announcement materials, plan summary documents and other media for communicating plans to employees. Conduct employee meetings and arrange for enrollment.

• Assure company compliance with provisions of Employee Retirement Income Security Act and the Affordable Care Act. Supervise preparation of reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies. Review and analyze changes to state and federal laws pertaining to benefits, and report necessary or suggested changes to management. Coordinate company benefits with government-sponsored programs.

• Develop benefits information and statistical and census data for actuaries, insurance carriers and management.

• Handle benefits inquiries and complaints to ensure quick, equitable, courteous resolution. Maintain contact in person, and by phone or mail, with hospitals, physicians, insurance companies, employees, and beneficiaries to facilitate proper and complete utilization of benefits for all employees.

• Supervise maintenance of enrollment and claims records for all benefits plans.

• Manages the unemployment claims process and represents company at unemployment claims hearings.

• Participate in new employee orientations to ensure employees gain an understanding of benefits.

• Partners with Safety Department on HR related overlap. Ensures proper communication and collaboration on shared responsibilities and initiatives.

• Serve as lead on employee related events and recognition programs. Plan, Coordinate and execute large scale events throughout the year.

• Prepares various HR related reports and metrics as assigned.

• Responsible for administrative updates and maintenance of the Human Resource Information Systems (HRIS).

• Other duties as assigned.

Education & Experience Requirements

• Bachelor’s degree in business related field and/or Human Resources related field preferred.

• Eight years of progressive experience in a Human Resources position with emphasis on health and welfare plan administration.

• Considerable knowledge of principles and practices of human resources and benefits administration.

• Excellent Microsoft Office skills with emphasis in Excel.

• Strong interpersonal skills both oral and written.
