Acceptance Insurance has an immediate opening for a Corporate Receptionist at our Green Hills Corporate Offices.

Job Summary

The Corporate Receptionist is the first impression that the outside public and our business partners will have when contacting Acceptance via phone or visiting our Nashville Corporate Headquarters. Therefore, the ability to greet visitors or callers in a pleasant and professional manner is always required ensuring a positive impression of the company to all that call or visit. This position will answer inbound calls and transfer those calls to the appropriate individual using an AT&T phone system ensuring that each call is answered promptly, transferred successfully or a message is taken and delivered if the person is not available. The Corporate Receptionist will record all visitors and ensure that each is met in the lobby by the person they have come to meet.

Additionally, this position supports the clerical team as related to mail, data entry and information processing as needed.

Responsibilities:

The successful candidate for Corporate Receptionist will:

  • Answer, screen and direct calls inbound switchboard calls
  • Record and relay messages
  • Provide information to callers as needed
  • Greet lobby visitors cheerfully
  • Contact appropriate persons that their visitors are waiting in the lobby
  • Remain knowledge of staff changes within the organization
  • Monitor visitor access and maintain security awareness
  • Maintain appointment diary daily
  • Provide general administrative and clerical support as needed
  • Prepare correspondence and documents as requested
  • Receive, sort and alert organization of mail and package deliveries
  • Schedule appointments as needed
  • Organize conference and meeting room bookings as needed
  • Co-ordinate meetings and organize catering as needed
  • Monitor and maintain office equipment as needed
  • Maintain the reception area in an orderly and professional appearance
  • Other tasks as deemed required by leadership

    The desired qualifications for the successful candidate for Corporate Receptionist are:

    • Previous experience in working with the public via telephone
    • Proficient in Microsoft Office
    • Experience organizing, planning and executing administrative activities
    • Must be an effective communicator able to convey information to others effectively.
    • Must have demonstrated strong active listening skills; giving full attention to what others are saying, understand the points being made, asking questions as appropriate.
    • Must have demonstrated the ability to read and understand written sentences and paragraphs in work related documents
    • Must be able to communicate effectively in writing as appropriate for the needs of the audience
    • Must possess the ability to add, subtract, multiply, or divide quickly and correctly
