A large Minneapolis based insurance company is seeking a Marketing Assistant to work with their marketing team on a variety of different projects. SUMMARY: Provides general administrative assistance to management and Marketing Communications personnel within the marketing department. Specific responsibilities include but are not limited to: answering the telephone, greeting visitors, keeping calendars and scheduling meetings, setting up video conference calls/booking conference rooms, making flight/travel arrangements, completing expense reports, , being the "go-to" person for ordering office supplies and ensuring all office equipment is functional and working, assisting in preparation of correspondences (PowerPoint presentations, reports, emails, memos, as required), distributing daily mail, preparing Federal Express packages and mail deliveries, and assisting with special projects, as required. There may be opportunities to assist with and participate in marketing projects and initiatives related to social media, Company websites, sales/marketing collateral, and the maintenance of files and resources on ORT Marketplace, Getty Images and other repositories. ESSENTIAL FUNCTIONS: -Provides confidential administrative support to personnel. -Schedules and organizes activities such as meetings, travel arraignments and video conferencing. -Answers phone in a timely, courteous manner. -As necessary, directs incoming calls to appropriate person, giving caller a choice of holding or voicemail, if person requested is on phone or unavailable. -Is the "key operator" for all office equipment. -Works with building management and maintenance personnel to ensure office space and the offices are well maintained, waste baskets are emptied daily and lights are replaced when they burn out. -Signs for courier deliveries and notifies intended recipients in a timely manner. -May prepare spreadsheets and PowerPoint presentations, as requested. -May prepare mass mailings and copy documents. -Schedules, updates and keeps Outlook calendars current for local and regional managers, as applicable and as requested. -May prepare expense reports, as requested. -Keeps desk and conference room clean and free of used cups/glasses/cans. -Provides refreshments to visitors to the office, who have meetings onsite. -Contacts vendors and orders office supplies, coffee, bottled water and soft drinks, as they are depleted and needed. Job RequirementsQualifications: -Bachelors degree or higher -Experience, internship or interest in Marketing - Knowledge of Microsoft Office tools (Excel and Outlook required; PowerPoint preferred) -Extremely detail oriented -Excellent communication skills both verbal and written -Ability to work in a fast-paced environment -Team player -Self-starter -Must be consistently on time for work each day and have dependable consistent attendance. -Must be able to work from 8:00 a.m. to 5:00 p.m., Monday through Friday. -Must be able to work with and handle confidential and sensitive information. -Must be personable, positive and a professional representative of the Company. -Must have a cheerful and friendly telephone voice and demeanor. -Must be a self-starter and have the ability to work independently, without close supervision. -Must be able to foster, develop and maintain professional and collaborative working relationships. -Must be able to get along with others, i.e., peers, supervisors, outside customers, and vendors. -Must be able to interact effectively and professionally with all levels of management, employees and customers by email, telephone and in person. -Ability to work overtime as requested and approved by supervisor. -Ability to accept supervision.
